PROJECT MANAGEMENT ASSISTANT

Responsibilities
· Support the Project Manager in the day-to-day administration, coordination, and execution of multiple construction projects while helping ensure projects remain organized, on schedule, and compliant with company and client requirements.
· Prepare, maintain, and organize project documentation, including RFIs, submittals, meeting minutes, project logs, progress reports, permits, closeout documents, and other project records, ensuring accuracy and timely distribution.
· Serve as a primary administrative point of contact for project stakeholders, including clients, field personnel, subcontractors, vendors, and suppliers, facilitating clear communication and timely exchange of project information.
· Coordinate project logistics, including scheduling meetings, arranging travel and lodging, securing equipment and materials, supporting field operations, and assisting with other project-related administrative needs.
· Assist the Project Manager with project cost control by tracking budgets, monitoring expenses, coordinating material procurement and deliveries, reviewing invoices for accuracy against purchase orders, and supporting timely payment processing.
· Monitor project schedules, milestones, deliverables, and critical deadlines, proactively identifying outstanding items and communicating status updates to the Project Manager to support successful project execution.
· Maintain project information within company and client management systems, including construction management software such as Procore or similar platforms, ensuring data is accurate, current, and accessible.
· Support project quality, safety, and compliance initiatives by maintaining required documentation, tracking inspections, permits, incident reports, change orders, and other administrative requirements in accordance with company standards.
· Maintain the highest level of professionalism and confidentiality while demonstrating strong organizational skills, effective communication, sound business judgment, and the initiative to work independently and collaboratively in a fast-paced construction environment, with the opportunity to develop into a Project Manager role.

Requirements
· Minimum of two (2) years of administrative experience supporting construction projects or project management teams.
· Working knowledge of construction project documentation, including RFIs, submittals, change orders, purchase orders, invoices, and project closeout documentation.
· General understanding of construction project workflows, business processes, and project administration.
· Knowledge of construction processes, terminology, and best practices
· Prior experience in an office environment that involves managing suppliers, cost accounting, and various administrative duties
· Valid driver's license and the ability to travel occasionally, as required.
Preferred
· BA/BS in construction, business management, project management, accounting, engineering, architecture, or a related field with three years of experience in a construction, general contracting, or related field; or equivalent combination of education and experience.
· Experience using construction management software such as Procore or similar project management platforms.
· Experience coordinating subcontractors, vendors, material procurement, and project logistics.
· Experience with project cost tracking, invoice review, budgeting, or accounting support.
· Prior experience with vendor and subcontractor management.

· Ability to adapt to changing priorities and perform effectively in a fast-paced construction environment. Effective Coordinators demonstrate a strong customer service orientation, with the ability to work in a fast-paced environment with multiple projects and deadlines
Reporting Structure
This position reports directly to a Project Manager and works closely with field personnel, subcontractors, vendors, suppliers, clients, and internal departments to support successful project execution.
